SpeakAtClub

Guest follow-up

Guests register online instead of on a clipboard or scrap of paper. You always know who still needs a call, you can log what you did after you reach out, and SpeakAtClub emails the VPM (and later the President) if someone sits too long without follow-up. It also flags guests who visited once and never came back—so they don’t disappear after a single night.

See who still needs a call

When you’re not sure who you still owe a call, SpeakAtClub puts them at the top of Guests under Needs action— so Monday starts with a list, not a notebook. After you log outreach with Mark followed up, guests planning to attend the next meeting show as Visiting— so the pipeline matches reality.

  • Needs action covers new guests and people who need a call after they visit
  • Mark followed up with what you did, the date, and an optional note
  • Record where they stand (Warm, Joining, Not interested, and more) when you know—so reminders stop when they’re not pursuing membership
  • Follow-up status updates as guests register, visit, and get contacted—you never set it by hand
  • When they join the club, a Super Admin can convert them from guest to member

Log contact, then check who’s drifting

After you email or text someone, log it with Mark followed up so the next officer sees what happened and stall reminders stop. When you’re worried people are drifting away, Engagement lists guests who registered or visited once and didn’t return, plus members who might need outreach—without a side spreadsheet.

Nudges when outreach stalls

You don’t have to remember every follow-up date yourself. When a guest still needs contact, SpeakAtClub emails the VPM (and escalates to the President when follow-up stalls)— with the same alerts in inbox / push if officers use them.

After the visit

Guests get visit and meeting reminders before they attend. After the meeting, SpeakAtClub sends emails that say Thanks for visiting or Sorry we missed you, based on who checked in—so you’re not drafting those notes from scratch. After-meeting outreach still lands on the VPM’s Needs action list until someone logs follow-up.

  • Visit invitation and meeting reminder before the night
  • Emails that say Thanks for visiting (checked in) or Sorry we missed you (didn’t check in)—sent after the meeting
  • Closed or Not interested outlook stops the reminder clock
